Penrith Canoe Club ("PCC", "the Club", "we", "us" or "our") is committed to protecting the privacy and personal information of our members, participants, volunteers, coaches, parents, guardians and other people who interact with the Club.

Penrith Canoe Club is a community canoe and kayaking club providing paddlesport activities, coaching, training, competitions and other club activities.

3. Information we collect

The information we collect depends on how you interact with the Club.

Membership and contact information

Children and young people

  • information necessary for participation, safeguarding and competitions.

Health, medical and accessibility information

Members or their parents or guardians may provide information about medical conditions, allergies, medication, disabilities, accessibility requirements or other health matters that may be relevant to safe participation in Club activities.

Health information is classed as special category personal data under UK data protection law.

We will only process this information where there is an appropriate lawful basis and an additional condition permitting the processing of special category data.

We will limit access to this information to people who reasonably need it for safety, welfare, safeguarding or the operation of Club activities.

Coaching, qualifications and volunteering

For coaches, officials and volunteers we may process information including:

Access to incident and accident records will be restricted to authorised individuals who have a legitimate need to access them.

Photographs and video

We may take photographs or video during Club activities, events and competitions.

Access to personal information is restricted to Club officials, volunteers and service providers who reasonably require access for their role.

No internet-based service can be guaranteed to be completely secure. We therefore regularly review how personal information is stored and accessed and take reasonable steps to protect it.

If a personal data breach occurs, we will investigate it and take appropriate action. Where required by law, we will notify the Information Commissioner's Office and affected individuals.

8. Payments

Where payments are made online, payment information may be processed by a recognised third-party payment provider.

The Club will not retain complete payment card information unless this is necessary and we are permitted to do so.

We may retain appropriate financial and transaction records for accounting, legal and administrative purposes.

9. How long we keep your information

We will only keep personal information for as long as reasonably necessary for the purpose for which it was collected and to meet any applicable legal, regulatory, safeguarding, insurance or accounting requirements.

Different categories of information may therefore be retained for different periods.

When determining an appropriate retention period, we consider:

  • why the information was collected;
  • whether it is still required;
  • legal and regulatory requirements;
  • safeguarding requirements;
  • insurance requirements;
  • accounting and tax requirements; and
  • whether information may be required to establish, exercise or defend a legal claim.

Information that is no longer required will be securely deleted, destroyed or anonymised where appropriate.

We will periodically review the personal information we hold and our retention requirements.

Depending on the circumstances and the lawful basis on which we process your information, you may have the right to:
